How to Update macOS Safely Without Losing Your Data (Pre-Update Checklist Included)

Most macOS updates go smoothly — but the ones that don't can leave you with a Mac stuck on a progress bar, a 'macOS could not be installed' error, or worse, lost files. The good news: nearly every update-related disaster is preventable with a five-minute checklist before you click 'Update Now.' Here's exactly what to do.
The Pre-Update Checklist (Don't Skip Any of These)
- 1Back up your data — Time Machine, iCloud, or a manual copy. Treat every major macOS update as if something could go wrong, because rarely, it does
- 2Check your storage space — Apple menu > About This Mac > Storage. You need at least 20-30GB free for most updates (large updates can need more temporarily)
- 3Plug in your charger — never update on battery alone. An update that loses power mid-installation can corrupt your entire system
- 4Check your Wi-Fi connection — use a stable network; updates can be 6-12GB and an interrupted download can cause installation issues
- 5Close all open apps and save your work — the update process will restart your Mac multiple times
- 6Note your current macOS version (Apple menu > About This Mac) — useful if you need to troubleshoot afterward
How to Install the Update Properly
- 1Go to System Settings > General > Software Update
- 2Click 'Update Now' (or 'Upgrade Now' for a major version jump)
- 3Enter your administrator password when prompted
- 4Let it download completely before installation begins — don't close the lid or let the Mac sleep
- 5When it restarts to install, do NOT force-shutdown even if the progress bar appears frozen — major updates can take 30-90 minutes and the bar often pauses at certain stages

If your Mac genuinely appears frozen for more than 2-3 hours during an update with absolutely no progress bar movement and no disk activity, only then consider a force restart — and even then, know that this carries some risk of file system corruption. This is the single most common reason MacBooks come into our shop completely unresponsive after an update. If you're unsure, it's always safer to wait it out or call a technician before forcing a restart.
For security updates (the small, frequent ones), update promptly — they patch real vulnerabilities. For major version upgrades, it's reasonable to wait 4-6 weeks after release, letting Apple patch the inevitable early bugs that affect specific app and hardware combinations. This is especially true if your Mac is older — major updates sometimes run noticeably slower on hardware from 5+ years ago.
